Email Policy

Introduction

Pipe Ten strive to offer a balance of value, usability, reliability, security and excellent performance, delivery and reputation across all their mail services.

To help maintain this delicate balance Pipe Ten provides multiple mail services, each with its own intended use, policy and limits. The core aim of this policy is to minimise the amount of unwanted emails that customers using our networks receive and to  prevent our customers and networks becoming a source of unwanted email.

All Pipe Ten customers as well as users that access Pipe Ten services who may not directly have a Pipe Ten account must comply with this Email Policy, the Acceptable Use Policy and the Terms of Service.

Definitions

Unwanted emails – Any email that a recipient would not recognise as something as they had requested or wanted to receive.

Spam – See unwanted email.

UCE – Unsolicited Commercial Email, which includes using purchased lists or sending on a behalf of a different brand or domain the end user does not recognise.

Abuse – Deliberate or accidental use of email services in a way which causes inconvenience for the service, its other users, IP reputation or external users.

Resource – The amount of computing power available to process requests.

Fair use – Shared mail services are subject to limitations to ensure customers with normal usage are not unduly impacted by customers with abnormal usage.

Acceptable Usage

Prohibited Use

Sending UCE
Customers may not use Pipe Ten services to send UCE (unsolicited commercial email) or Spam whether or not that e-mail is commercial in nature.

Facilitating UCE
Customers may not use Pipe Ten services for activities that have the effect of facilitating UCE (unsolicited commercial email) or Spam, whether or not that email is commercial in nature.

Collecting responses from UCE
Customers may not use Pipe Ten services including email or websites to collect responses from UCE (unsolicited commercial email) or Spam.

Harassment
Customers may not use Pipe Ten services to send emails to a recipient where the recipient has previously requested that you cease mailing or send emails that might cause annoyance, inconvenience or anxiety to a recipient.

Virus / Malware
Customers may not use Pipe Ten services to link to promote or distribute malware or viruses.

Adult content
Customers may not use Pipe Ten services to link to promote or distribute material of a sexual or adult nature.

Illegal / Offensive
Customers may not use Pipe Ten services to send any emails likely to cause distress or any material which is offensive, indecent, obscene, menacing or in any way unlawful.

Mail Bombing
Customers may not use Pipe Ten services to send emails in large volumes of quantity, size or frequency for malicious intent of depriving others of any internet services.

Falsified Email Headers
Customers may not use Pipe Ten services must not use false mail headers or alter the headers of mail messages in such a way as to conceal the identity of the sender.

Unauthorised Use
Customers may not use Pipe Ten services must not use any email address that they are not authorised to use.

Open Relays
Customers must ensure that any email servers connected to Pipe Ten’s network are not configured to allow ‘open relay’.

Mailing Lists

Acquired Mailing Lists
Pipe Ten considers the acquisition and sending of any email list of any nature (be it targeted, opt-in, opt-out, yellow-pages) via its servers as UCE (unsolicited commercial email).

Old/Dated Mailing Lists
Any lists sent via the Pipe Ten mail service must have a less than 10% failure rate across its whole. Pipe Ten do not provide data cleansing or mailbox verification services.

External Promotion
The Subscriber must not use any illegal to promote their website hosted on their Pipe Ten account. This includes using a free or alternative email service to send UCE (unsolicited commercial email) or spam email, make automated form submissions or make newsgroup postings promoting a website hosted with Pipe Ten or containing any return/reply-to email address on a domain hosted upon Pipe Ten’s servers.

Opting In
Customers of Pipe Ten services must not send emails to any users who have not requested to receive them or do not wish to receive them. Senders must also be sure that recipients are aware that they are listed on the sender’s e-mailing list and that they themselves provided their information or authorised a third party to do so on their behalf. Senders must make every effort to ensure that the information they are sending is of interest to the recipient and matches the reason given for the collection of the e-mail address in the first place.

Opt Out
Customers of Pipe Ten services must have a clear opt out policy in all newsletter communications ideally by the use of a website link and automated unsubscription.

Appropriate Server Use
Customers of Pipe Ten services must send any bulk / mass mailings sent via the appropriate mass mailing/relay server and NOT a shared email service.

Reputation
Customers of Pipe Ten services must take full responsibility for their own email reputation, Pipe Ten can not guarantee a positive reputation.

Data Protection Act / GDPR
Any mailings sent out by Customers must not breach any laws and fulfil their obligations in terms of the Data Protection Act and GDPR.

Enforcement

In the event of any problems being caused by email activity, Pipe Ten will make every effort to ensure that the problem is resolved as quickly as possible. This includes full co-operation with any relevant authorities.

Pipe Ten will suspend, terminate or blocked accounts seen to be sending UCE (unsolicited commercial email) or Spam.

In the event that Pipe Ten are alerted to anyone sending bulk emails, Pipe Ten will generally attempt to make contact with the Customer to discuss the next appropriate actions.

Service Use Summary

mail.pipeten.co.uk – Shared Mail Service
Provides customer inbound POP(s), IMAP(s), customer outbound SMTP(s) and public inbound SMTP(s) services and managed via H-Sphere control panel. Includes all Pipe Ten provided webmail services.

(d)webform.pipeten.co.uk – Shared Outbound Relay Service
Provides outbound SMTP(s) relay services to customers scripts hosted on Pipe Ten networks (typically web/email forms).

mailer.pipeten.co.uk / mc14.purelymx.com – Bulk Email Service
Provides outbound SMTP(s) mass mailing services to existing web hosting and enterprise customers and limited related inbound services.

nn.purelymx.com – Private Mail Service/Private Marketing or Mass Mail Service
Provides a customised combination (or all) of the above capabilities.
